1. Booking Your Holiday

  1. a) Your contract in respect of your holiday is made with the Company, and all bookings are subject to these terms and conditions.
  2. b) All communications from the Company relating to your holiday will be sent to the address stated on your booking form.
  3. c) All bookings must be made through an authorised representative of the Company. At the time of booking, the Company’s booking form must be completed and submitted together with a deposit of 50% of the total cost of the booking. The Company shall not be liable for any booking arrangement made through a third party who is not an authorised representative of the Company.
  4. d) Receipt of the deposit and booking form by the Company does not, by itself, guarantee confirmation of a booking. A booking is confirmed only once the Company issues written notice of confirmation. The Company reserves the right to decline a booking without providing a reason, in which case any deposit received will be returned in full.
  5. e) The balance of your holiday must be paid in full no later than 21 days before the departure date. If payment is not received by this date, the Company reserves the right to cancel the booking, and no refund of any amount already paid will be made. The person who signs the booking form guarantees payment of the total amount shown on that form in accordance with these conditions, and it is the signatory’s responsibility to ensure the Company receives payment in full by the due date.
  6. f) Where a booking is made within 21 days of the departure date, payment must be made in full at the time of booking.
  7. g) Any special requests — including dietary requirements, honeymoons, anniversaries, and birthdays — should be noted clearly on the booking form so that appropriate arrangements can be made.
  8. h) The Company will provide services as set out and confirmed in writing.

2. Price Policy

  1. a) The quoted price for a trip covers planning, organisation, execution, accommodation, administration, and staffing costs. It does not include vaccination fees, travel insurance, transport to and from the start or end point of the trip (including international flights), passport and visa costs, personal equipment, personal expenses incurred during the trip, or any other cost specifically excluded in the trip description and/or invoice. Responsibility for these excluded costs rests with the client.
  2. b) The Company reserves the right to notify you of any price increase prior to accepting your booking.
  3. c) Once a Confirmation Invoice has been issued, and unless full payment is made at the time of booking, the price of your holiday remains subject to surcharges in certain limited circumstances.
  4. d) Clients who wish to fix their holiday price at the amount quoted at the time of booking may do so by paying in full at that time. To qualify, the Confirmation Invoice must be returned to the Company together with full payment within 7 days of the date shown on the invoice.

3. Cancellation and Changes by the Company

  1. a) Cancellations must be notified in writing by letter or email as soon as possible; a cancellation is effective only once written notice is received by the Company. A cancellation charge will apply to cover costs and inconvenience incurred by the Company.
  2. b) No compensation is payable for changes arising from an act of God. Where performance of the holiday is prevented by force majeure, both parties are released from their respective obligations and the holiday is deemed suspended. “Force majeure” means any unavoidable and extraordinary circumstance beyond the Company’s control, including but not limited to acts of God, riots, civil disturbance, declared or undeclared war, military action, pandemics, lockouts, and lawful or unlawful labour disputes. Clients are strongly advised to obtain adequate travel insurance.
  3. c) The Company reserves the right to cancel a holiday at any time before departure, even after a confirmation notice has been issued. Where the Company cancels a holiday, all monies paid by the client will be refunded in full; no further compensation will be payable.
  4. d) Transportation is subject to the conditions of carriage imposed by the relevant carrier, some of which may limit or exclude liability.
  5. e) The Company reserves the right to refuse any person as a tour participant where, in its reasonable opinion, that person’s participation could endanger the health or safety of others. In any of the circumstances described in this clause, the Company’s sole liability, and the client’s sole remedy, is limited to a refund of monies paid, less the value of any services already provided.

4. The Company’s Responsibilities

  1. a) The Company will ensure that all trip arrangements it agrees to offer, perform, or provide under the contract are carried out with reasonable skill and care, consistent with the booking made.
  2. b) The Company is not responsible for any injury, illness, death, loss (including loss of possessions or loss of enjoyment), damage, expense, cost, or other claim arising from the client’s own omissions or negligence, or from force majeure as defined in Clause 3(b).
  3. c) The Company does not accept liability for services provided by third parties that do not form part of its contract with the client.

5. Client’s Responsibilities

  1. a) The client is responsible for arranging their own travel insurance.
  2. b) The client is responsible for checking in for flights within the correct timeframe. The Company is not liable for missed flights resulting from late check-in, and no credit or refund will be given if the client fails to take up any component of the holiday.
  3. c) By booking a holiday with the Company, the client undertakes to behave in an orderly manner, to avoid disrupting the enjoyment of other travellers, and to refrain from any conduct that could bring the Company’s reputation into disrepute.
  4. d) Where a client breaches Clause 5(c), their holiday will be terminated with immediate effect and the Company will have no further contractual obligation to them. The Company shall be entitled to recover from the offending party, and/or the person who signed the booking form, compensation for any resulting damage.
  5. e) All pre-existing medical conditions must be disclosed on the booking form. Failure to make such disclosure shall automatically render the contract void.

6. Governing Law

Any dispute arising under these Terms & Conditions shall be governed by the laws of Uganda.

3-Day Gorilla and Golden Monkey Trekking Safari This package gives you a chance to track mountain gorillas and golden monkeys in their natural habitats.

3-Day Gorilla Trek and Dian Fossey Hike An affordable option that includes trekking the endangered mountain gorillas in Volcanoes National Park as well as hiking the Dian Fossey grave.

5-Day Rwanda Safari A 5-day Rwanda safari includes gorilla trekking, golden monkeys, and city tour.

Low Season 4-Day Package Rwanda Safari & Akagera Safari offers a Low Season 4-Day Safari & Gorilla Trekking package which includes low season discounts on accommodation and park permits, with travelers spending a minimum of two nights in Akagera or Nyungwe National Park before trekking to see mountain gorillas.

Longer/Luxury Packages

6-Night Luxury safari holiday; A 6-night luxury journey through Rwanda combines a private Akagera safari with a stay in the Volcanoes region for mountain gorilla and golden monkey trekking.

8-Day Volcanoes and Nyungwe Park Safari This safari offers the opportunity to see primates and gorillas in Volcanoes National Park as well as combine visits to Nyungwe Park.

Beyond gorilla trekking, Volcanoes National Park offers diverse adventures including golden monkey tracking through bamboo forests, volcano hiking to Mount Bisoke’s crater lake at 3,711m, and Mount Karisimbi at 4,507m.

Most packages operate year-round, though between November and May, visitors can receive a 30% discount on Rwanda gorilla trekking permits from the Rwanda Development Board.
